Legal Files Case and Matter Management Software Serves a Multi-Office Law Firm
A law firm with multiple locations selects Legal Files to manage its statewide practice
In today’s modern and interconnected world, it’s common for law firms to have more than one location. While having multiple offices is an excellent way to reach more clients and bring in more revenue, it can also pose unique challenges. One logistics issue that firms often face is the lack of effective case management for law firms and matter management for multi-office law firms. Halley, Talbot, & Smithton faced this exact problem.
The Oklahoma law firm ultimately selected Legal Files Software to help manage its statewide personal injury and workers’ compensation practice.
Legal Files provides the management software necessary to support the law firm
Halley, Talbot, & Smithton provides statewide legal support for matters involving auto and truck accidents, workers’ compensation claims, and medical malpractice. Given the nature of the practice and the firm’s two offices, an electronic legal case management software seemed ideal. However, the firm wasn’t using their existing system.
According to firm partner Danny Talbot, “It was essentially a paperweight. When you tried to use it, it wouldn’t work right or it didn’t work the way we thought it should.” This ineffective software led the firm to adopt a homemade system comprised of Outlook and Windows Explorer folders. “It wasn’t easy to use or easy to maintain, and it was not very efficient,” he said.
The firm was cautious to try a new case and matter management system though, as the practice’s previous experiences with legal management systems “left a bad taste in our mouths.” Despite their initial reluctance, Halley, Talbot, & Smithton decided to try Legal Files Software after hearing positive reviews from another law firm using the software. After performing additional research, the law firm found that none of the other management systems on the market “seemed to be as user friendly as Legal Files.”
Halley, Talbot, & Smithton found the efficiency it was seeking for its practice
As Halley, Talbot, & Smithton continues to grow, the firm needs an efficient and flexible case and matter management system, and Legal Files provides it. Legal Files Software takes everything that’s related to a case–contacts, deadlines, documents, emails, and tasks–and places it in one convenient location for maximum efficiency.
“Using Legal Files has made it easier to serve clients from two office locations and streamlined the communication process between our employees,” Talbot said. “I open Legal Files when I walk in the door in the morning and I don’t shut it down until I walk out the door at night. Anytime somebody calls, I have immediate access to everything in his or her file. I love it. I don’t know what I’d do without it.”
Not only has Legal Files software made the law firm more productive as a whole, it has also provided special benefits to the workers’ compensation aspect of the practice. Although Legal Files is designed to handle any type of case, the firm has found that the software’s built-in document assembly system is especially helpful for the firm’s intensive workers’ compensation cases. According to Talbot, “Creating document templates within Legal Files for those forms, and then allowing the system to pull in anywhere from 75 to 95 percent of the information needed to complete those forms has made the entire process so much easier, and so much faster for us.”
Talbot hopes that other firms consider Legal Files for their case and matter management needs, because it’s an established and time-tested program with a good following of both long-time and new customers.
